Verify Your Vaccination

Students and employees are required to verify your vaccination against COVID-19 to ensure community health and help the Brown community return more quickly to normal operations.

Brown is requiring all students and employees who have received the vaccination against COVID-19 to document verification of receipt of vaccination by uploading the completed vaccination card received from your vaccination provider.  Understanding the rates of vaccination among students and employees helps ensure the health and well-being of the Brown community while also creating safe conditions to return more quickly to normal operations.

We are providing step-by-step instructions that allow you to upload your vaccination card and provide confidential verification of your vaccination in minutes.

Employees

If you receive two injections as part of a 2-dose vaccination series (such as the Pfizer or Moderna vaccine), please upload the final vaccination card directly to Workday or email a pdf or jpeg to [email protected] once both injections have been received. Similarly, if your vaccination requires only one injection (such as the J&J vaccine), please upload your card after that vaccination.

All vaccination records will be stored confidentially in Workday and can be loaded via the Vaccine Management link in the Benefits app on your Workday landing page. For more information regarding uploading your vaccination card to Workday, please visit this online guide. Employees may also email a pdf or jpeg to [email protected]. If submitting via email, please use Virtru to email it securely. All vaccination records will be stored confidentially in Workday and can be loaded via the Vaccine Management link in the Benefits app on your Workday landing page.

Eligible employees who have submitted proof of COVID-19 vaccination in Workday can earn $50 toward 2021 Wellness Rewards. Wellness Rewards is the voluntary wellness incentive program designed to help faculty and staff maintain and improve their overall well-being. Additionally, for those needing sick time to support their vaccine recovery, Brown will credit up to two sick days (up to one per each vaccination day), as needed. Credit for time off will be updated once per month upon updating your vaccine status in Workday.

Students

Once you receive your first injection, please take a photo of your vaccination card and upload it to the Health and Wellness Patient Portal. If you’re receiving a two-dose vaccination (i.e., Pfizer or Moderna), please return to the portal to upload your final vaccination card after your second injection.

To update your vaccination information via the portal:

  1. Log in to the Health and Wellness Patient Portal using your Brown username and password.
  2. Select “Immunizations” at the top of the page and select “Enter Dates.”
  3. Scroll down to the “Other” section and choose the appropriate COVID-19 vaccine.
  4. Select the calendar icon to select the date(s) on which you were vaccinated and then select “Submit.”
  5. Select “Upload” from the dropdown menu and select “Immunization Records Other.”
  6. Choose “Select File,” upload your vaccine card photo, and select “Upload.”

All vaccination records will be stored confidentially.
